Interlibrary Loan and Document Delivery Service Policy

ILL/DDS Service

Our Interlibrary Loan and Document Delivery Service (ILL/DDS) can assist you in obtaining materials not available in the University’s library collections. These include books, e-book chapters, journal and e-journal articles, as well as conference papers and bound periodicals amongst others.

Eligibility

The ILL/DDS service is accessible to all current USEK faculty, staff and enrolled students. We regret that this service is not available for personal non-university research and recreational reading purposes.

In the event that a user’s request limit has been reached, USEK Library has the right to reject an ILL/DDS request. In some cases, the Library will not be able to fulfill the user’s request and will send them an e-mail explaining why.

Number of Requests by User Category

Category Items per semester
Undergraduate students 5
Graduate students 15
Post-graduate students 20

Charges

The ILL/DDS service is free of charge, provided the user does not exceed their request limit.
Users will be charged 5,000LL per item per day for overdue items as well as any additional charges that might be imposed by the lending library.

Document Request

Before submitting an ILL/DDS request, please check that the item is not already available in the USEK Library Catalog or Electronic Resources.
If the requested item is not held at USEK Library, users can then log in with their USEK credentials to fill out the ILL/DDS Request form.
Delivery times may vary for articles and books from different lending libraries, though material delivery might require an approximate fifteen (15) working days period, depending on the availability of the item(s) requested.

Pick-Up and Duration of Loans

An email notification will be sent once the ILL item(s) becomes available for pick-up.
Items can be picked up at the Reference Desk of the Main Library or the Circulation Desks of branch libraries and must be checked out using a valid USEK ID card.
Loan periods may vary depending on the library the item came from.
Loaned items should always be returned by the due date stated on the ILL book slip; failing to do so can result in extra charges to the borrower, as well as jeopardizing our relationship with other lending institutions.
Please note that photocopies of articles are the property of the library user.
ILL materials can be recalled any time by the lending library. Recalled items must be returned to the Main Library Reference Desk or the Circulation Desks of branch libraries within one working day of the recall notification. Otherwise, overdue charges will apply.

Renewals and Return of Materials

We will try and renew your ILL book upon request; however, please note that not all lending libraries allow renewals for ILL material.
If you would like to renew an ILL item, you must notify us one week prior to the due date stated on your item slip.
Renewed item(s) must be returned to the Main Library Reference Desk or Circulation Desks of branch libraries by the indicated due date.

Late Return and Loss of Interlibrary Loan Materials

If items are kept beyond the due date, the user’s borrowing privileges will be suspended until the overdue items are returned.
Longer suspensions of privileges may apply if borrowers are consistently late in returning materials.
If an ILL item is lost or damaged whilst on loan to you, you will be charged according to the borrowing policy of the lending library.
